Software for Human Services Organization Paper
In this paper we will explore the benefits of using this software to centralize electronic client records and human services resources. We will also explore how I might use the selected software to track client services as well as describe any advantages and disadvantages (if any) of using this particular software. We will explain how the size of the organization helps determine the software package chosen as well as three possible challenges that could occur during the implementation process and how we would resolve them. Client track is a software program used in the human services field to promote health, human and social service organization (Client Track , 2013). Client Track is an awesome program that helps in configuration of the organization, in doing so, the organization is able to work at its highest potential in the office. Some of the abilities of this program include;Intakes, assessments, determining elegibility, case notes, tracking client progress, measuring potential outcomes as well as providing referrals and so much more (Client Track , 2013). “Human service organizations that use a wide variety of tools to mange these activities can consolidate their technology by using client track” (Client Track , 2013). By having client track software program to centralize electronic client records in the human services field, will benifet the organization tremendously. For example, the organization will be able to have all contacts in one place, the data is more secure and reliable. The information can be backed up on a regular basis, sometimes daily or even nightly depending on the setting of the program. In most cases it will lessen the amount of duplicated records generated for a client.
The data base can become a shared source of knowledge, when changes to records are made it becomes available to everyone in the organization as well. When it comes to tracking client services Client track is used to configure medical assessments, prescription tracking, program enrollment. Client Track can also do automated complex processes, and eliminate the need to purchase separate software solutions for separate programs (Client Track , 2013). In outcomes tracking and goal setting the program evaluates client progress and program effectiveness, why tracking the progress toward goals using historical data recorded at different times points (Client Track , 2013). I would use the client track system when doing an intake of an individual because it uses the logic model response, which helps in quicker intakes as well as because it assist in asking further questions based only on information from previou responses. I would also use the tailored workflow, because it guides staff through the intake process and gathers only information that is needed and nothing else. The Client track program also puts all the information of a client into its data base and periodically refers back to certain time periods to keep track of individuals progress. It will also show with graphs and charts the imapct of of the sercices provided. It will automatically be intergrated within the Client Track Reporting Suite (Client Track , 2013). An advantage this program has would be how it can generate reports and produce committee, events and membership rosters. Staff can usually see and compare records at will and also see members recorded work. This program also allows the users to use charts graphys and also implement advanced security measures to make sure information is secured. Robust security and encryption ensures the privacy and confidentiality of client information.
Client Track also offers an elegibilty engine which eliminates the hassel of having to manually figure out if a client is eligible for services. Mobile intergration allows easy access form any smart phone, ipad or other web enabled device. A task management and calendar section enables the user to consolidate all work related activities into one system to promote efficientcy. There is no set size of an organization to determine which package to get. It is more like a one size fits all. No matter how big or small the company is, Client track works the same maybe it is safe to say that the bigger the organization the more areas of the program may be used. Although with more clients there will definitely be more information and the storage device migh have a problem containing all the information on a day to day use. At this point in time I can not seem to find any disadvantages to this program. There is so much they offer it seems as if they cover every area in the human services field. Maybe a disadvantage might be training for individuals who may use the system. I believe that there will be problems just like any other new program that gets implementated into every organization. For example the first might be that workers were use to the old system .
They might have a hard time adjusting to the new program which is being implimented. In this situation I would hold a mandatory training workshop for all employees, and it would cover every area of the program. Another challenge might be if the sofware were to have a malfunction, or something were to go wrong. I would always have the number for tech support on hand so tha it is readily accessable to all employees. Lastly if the system were to shut down, I would have a back up plan in which everything is switched over manually, for example intakes and assessments. When computers are up and running again it would be easy to input the information into the computer system. Another area of approach would be to have smart phones available just incase the computers go down in the office we can always access the program from another device. In conclusion we explored the benefits of using the Client Track software to centralize electronic client records and human services resources. We have explore how I might use the selected software to track client services as well as describe some of the advantages and potential disadvantage of using this particular software. We explain how the size of the organization does not determine the software package chosen because there is only one set program. We also included three possible challenges that could occur during the implementation process and how we would resolve them.
